Attendance Management

Overview

The Attendance page (/a/attendance) is your central hub for recording who showed up, when they checked in, and which shifts they are assigned to. It is organized into three tabs:

Mark Attendance

Record daily attendance status for every active employee — Present, Absent, Half Day, and more.

Check-In Log

View mobile check-in and check-out records submitted by employees through the self-service portal.

Shift Roster

Assign weekly shifts to employees and manage rotational schedules across your team.

Tab 1: Mark Attendance

This is the primary tab you will use every day. It displays a date picker (defaulting to today's date) and a table listing all active employees. For each employee row, you can set:

Column Description
Employee Name The employee's full name (auto-populated from the employee master).
Status Dropdown with options: Present, Absent, Half Day, On Leave, Week Off, or Holiday.
Shift Dropdown to select General, Morning, or Evening shift.
Notes Free-text field for remarks such as "late arrival" or "left early."

Once you have marked each employee, click Save Attendance at the bottom of the page to save all entries for the selected date. You can also navigate to a previous date using the date picker to mark or correct historical attendance.

Tab 2: Check-In Log

The Check-In Log displays mobile check-in and check-out records from employees who use the Mobile Check-In feature in the self-service portal. Each record includes:

  • Employee Name — who checked in.
  • Date — the date of the check-in.
  • Check-In Time — when the employee started their workday.
  • Check-Out Time — when the employee ended their workday.
  • Location — GPS coordinates captured at check-in (if the employee's browser permitted location access).

This tab is read-only. You use it to verify employee-reported attendance against the records you mark in the first tab.

Note: Employees can self-check-in from the Mobile Check-In page. Their GPS location is captured automatically if the browser allows it.

Tab 3: Shift Roster

The Shift Roster provides a weekly grid view for assigning shifts to your team. Here is how it works:

  • Rows represent employees.
  • Columns represent days of the week (Monday through Sunday).
  • Each cell contains a dropdown where you can assign: General Shift, Morning Shift, Evening Shift, or Week Off.

Use the date range picker at the top to select the week you want to configure. When you are done assigning shifts, click Save Roster to save your changes.

Tip Set up the Shift Roster at the beginning of each week to pre-assign shifts. This helps when marking attendance for multiple shifts.

How to Mark Daily Attendance

Follow these steps to record attendance for your team on any given day:

Navigate to Attendance from the sidebar menu. The Mark Attendance tab opens by default.

Select the date using the date picker at the top. It defaults to today, but you can pick any past date to mark or correct historical records.

For each employee in the table, choose their attendance status from the Status dropdown: Present, Absent, Half Day, On Leave, Week Off, or Holiday.

Optionally, select the employee's shift from the Shift dropdown — General, Morning, or Evening.

Add any relevant notes in the Notes field (for example, "late arrival" or "left early").

Click Save Attendance at the bottom of the page. All entries for the selected date are saved.

Important Notes

Tip Mark attendance before running payroll — the system uses attendance data to calculate loss-of-pay deductions.
Mobile Check-In: Employees can check in from their phones using the self-service portal. Their GPS location is captured automatically if the browser allows it. You can cross-reference these records in the Check-In Log tab.
Tip Pre-assign shifts in the Shift Roster at the start of each week. When you mark attendance later, the correct shift is already associated with each employee, saving you time.

Attendance Status Reference

Status When to Use
Present Employee worked their full scheduled hours for the day.
Absent Employee did not report to work and has no approved leave.
Half Day Employee worked only half of their scheduled hours.
On Leave Employee is on an approved leave (casual, sick, earned, etc.).
Week Off Employee's scheduled weekly off day (typically Saturday or Sunday).
Holiday A company-declared or gazetted holiday.
