Your central people database — add, search, and manage every employee from one place.

The Employee Directory is the heart of Fuzen HRMS Pro. It holds every employee's personal details, employment information, compensation, statutory IDs, and documents in a single, searchable list. Every other module — payroll, attendance, leave — pulls its data from records you create here.
You can reach the directory at any time from the sidebar by clicking Employee Directory, or by navigating to /a/employee_directory.
When you open the Employee Directory, you see a table listing all employees in your organisation. Here is what each column shows:
| Column | Description |
|---|---|
| Employee Code | A unique identifier for the employee (e.g., EMP001). Auto-generated when you add a new employee. |
| Employee Name | The employee's full name. Click it to open their 360-degree profile. |
| Office Email | The work email address assigned to the employee. |
| Status | Shows Active or Inactive to indicate current employment status. |
| Joining Date | The date the employee joined your organisation. |
| Salary / CTC | The employee's annual cost to company. |
| Actions | Edit opens the employee form for changes. View opens the full profile. |
Use the search bar at the top of the table to find employees by name or employee code. To narrow the list further, use the Status dropdown to filter by Active, Inactive, or All employees.
Two buttons sit at the top of the directory:
Click Add Employee to open a four-step wizard. Fill in each section, then move to the next. You can always come back and edit these details later from the employee's profile.
Enter the employee's Full Name (required). Then fill in their Phone number, Personal Email, and Office Email. The office email is what the employee will use to log in to the system.
The Employee Code is auto-generated for you. Select a Department from the dropdown, type in the Designation, and choose a Reporting Manager from the list of existing employees. Finally, set the Date of Joining.
EMP001, EMP002 for easy reference.
Enter the Annual CTC (Cost to Company) and select a Salary Structure. The salary structure determines how the CTC is split across earning heads like Basic, HRA, and allowances.
Enter the employee's banking and statutory information:
Click on any employee's name in the directory to open their full profile. The profile is organised into tabs, giving you a complete picture of the employee at a glance.
Personal details, employment information, and contact details in one summary view.
Salary structure breakdown: Basic, HRA, Conveyance Allowance, Medical Allowance, Special Allowance, Employer PF, and Employer ESI.
Monthly attendance summary and a daily log showing check-in/check-out times.
Leave balances by type and a full history of leave requests and approvals.
Upload and manage employee documents such as Aadhaar card, PAN card, offer letter, and more.
Track company assets assigned to the employee — laptops, ID cards, mobile phones, etc.
The Payslips tab shows the employee's monthly payslip history. Each payslip includes the full salary breakdown, deductions, and net pay for that month. You can view or download individual payslips from here.
If you have a list of employees in a spreadsheet, you can add them all at once using the CSV import feature.
Click Import CSV at the top of the Employee Directory.
Download the sample CSV template to see the expected format and column headers.
Fill in your employee data in the template. At a minimum, each row needs a Full Name and Office Email.
Upload the completed CSV file. The system will validate the data, flag any errors, and import valid records into the directory.
