Configure leave policies, process employee requests, and track balances across your organisation.

The Leave Management module (/a/leave_management) gives you a single place to handle every aspect of employee time off. It is organised into four tabs:

Leave Requests

View, filter, approve, or reject leave applications submitted by employees.

Leave Calendar

A colour-coded month view that shows who is on leave and when, so you can spot coverage gaps instantly.

Leave Balances

Check every employee's remaining entitlement by leave type, and manually adjust balances when needed.

Policy Setup

Define leave types, annual entitlements, carry-forward rules, and encashment options.

Tab 1 — Leave Requests

This is your primary action centre. Every leave application lands here as a row in a filterable table.

Columns displayed

Use the status filter at the top of the table to narrow the view to Pending, Approved, Rejected, or All requests.

Click the Apply Leave button to submit a leave application on behalf of an employee — useful when HR needs to log leave that was communicated offline.

Tab 2 — Leave Calendar

The Leave Calendar displays a month view with colour-coded blocks for each approved leave. Each block shows the employee name and leave type, making it easy to see team availability at a glance.

  • Navigate between months using the previous/next arrows.
  • Each leave type is assigned a distinct colour so you can quickly distinguish Casual Leave from Sick Leave or Privilege Leave.
  • Use this view before approving a new request to check whether the team will have adequate coverage on those dates.

Tab 3 — Leave Balances

This tab gives you a consolidated snapshot of every employee's leave balance, broken out by leave type.

Click Adjust Balance next to any employee to manually credit or debit leave days. This is useful for:

  • Year-start balance resets (e.g., crediting new CL entitlement in April)
  • Compensatory off (comp-off) credits
  • Correcting data-entry mistakes

Tab 4 — Policy Setup

Before your team can apply for leave, you need at least one leave policy in place. Each policy defines the rules for a specific leave type.

Policy fields

Leave Type NameA short label (e.g., CL, PL, Sick Leave)
Annual EntitlementNumber of days an employee receives per year
Carry ForwardWhether unused days roll over to the next year (Yes / No)
Max Carry Forward DaysUpper limit on days that can be carried forward
Encashment AllowedWhether unused days can be encashed at year-end (Yes / No)

Default leave types

CL Casual Leave

12 days per year. Typically used for short, unplanned absences.

PL Privilege Leave

15 days per year. Also called Earned Leave; usually planned in advance.

SL Sick Leave

10–20 days per year (configurable). For illness or medical needs.

Click Add Leave Type to create custom categories such as Maternity Leave, Paternity Leave, or Comp-Off.

How to Apply for Leave

Open Leave Management from the sidebar navigation.

Click the Apply Leave button at the top of the page.

Select the Employee from the dropdown list.

Choose the Leave Type — CL, PL, Sick Leave, or any custom type you have configured.

Pick the From Date and To Date for the leave period.

The system automatically calculates the total number of days based on your date selection.

Enter a Reason for the leave (e.g., "Family function" or "Medical appointment").

Click Submit.

The request now appears in the Leave Requests tab with a Pending status, awaiting approval.

How to Approve or Reject Leave

Go to the Leave Requests tab and filter by Pending status.

Find the request you want to act on.

Click Approve or Reject in the Actions column.

On approval, the employee's leave balance is automatically deducted. No manual adjustment needed.

Tips & Important Notes

Tip Set up your leave policies at the start of each financial year (April). Go to Policy Setup to define entitlements for CL, PL, and Sick Leave before employees begin applying.
Auto-deduction: Leave balances are automatically deducted when a request is approved. If you need to manually adjust a balance (e.g., to credit a comp-off), use the Adjust Balance feature on the Leave Balances tab.
Negative balances: If an employee applies for more days than their remaining balance, the system will still accept the application but will show a negative balance. Review the Leave Balances tab carefully before approving such requests.
