Contacts and leads

Keep every buyer, seller and past client in one list, with one next action each.

The Contacts board, grouped by stage

Contacts shows every contact as a Board (grouped by stage), a Table or Cards. Filter by type, stage, source and agent, or click No touch in 30 days to see the contacts nobody has touched in a month.

Add a contact

1

Open Contacts and click New lead.

2

Enter Full name (required), Email and Phone, then choose Type, Source, Stage and Assigned agent.

3

For a buyer, fill Buyer criteria: Price min, Price max, Beds at least, Baths at least, Property type and Areas.

4

Click Save. The contact page opens.

If you leave Full name empty, you'll see Name is required and nothing is saved. An incomplete email address (for example nora.whitfield@) is refused with Enter a valid email.

See matching listings

A buyer's contact page with criteria, stage bar and activity

On a buyer's page, the Matching listings tab shows the active listings that fit the buyer's price range, beds, baths, areas and property type. In the demo, a buyer for $350,000 to $450,000, 3+ beds in Eastside matches 1420 Juniper Lane, 2208 Larkspur Drive and 907 Cedar Hollow Cove.

Log a call, text, email or meeting

1

On the contact page, click Log call, or Log on the Activity card.

2

Choose the Type (Call, Text, Email, Meeting, Note), the Date and an Outcome, and add Notes.

3

Click Log. The touch appears in the contact's activity and updates Last touch.

Text or WhatsApp a contact

Click Text or WhatsApp on the contact page. Your phone's messaging app (or WhatsApp) opens with the contact's number and a prefilled message that uses the contact's first name, the agent's name and your business name. Edit the message in Settings > General. When the contact has no property yet, the message says your home search instead.

Email a contact

Click Email on the contact page, pick one of your Email templates or write your own subject and message, and send it. The email goes out from the mailbox connected in Settings > Integrations (see Connect your email) and is logged on the contact. With no mailbox connected, emails to contacts are not sent.

Import contacts from a spreadsheet

1

Click Import CSV and choose a .csv, .xlsx or .xls file. The first row must hold the column names.

2

On Map your columns, check that each app field points to the right column. Columns with other names (for example Client Name or Mobile) are matched for you; change any that are wrong.

3

Click Import rows. You'll see how many contacts were imported.

4

Rows whose phone or email is already on a contact are not imported twice. They're listed under rows repeat an existing contact, each with a Merge button.

Reassign contacts in bulk

1

On Contacts, filter the list (for example Any agent = Maya Torres, Any type = Seller).

2

Tick the contacts, or tick the header box to select them all.

3

Click Reassign, choose the New agent and click Reassign.

The contacts move to the new agent's list, their open tasks move with them, and the new agent gets one Lead assigned notification for the batch.

Archive and restore a contact

1

On the contact page, open the ... menu and click Archive. The confirmation names any linked deals and showings (for example has 1 deal, 2 showings).

2

Click Archive. The contact leaves the default list; its deals and showings are kept.

3

To bring it back, tick Show archived on the list, open the contact and click Restore.

Listings are archived and restored the same way.
