Check-in, payments and invoices

Everything you do with a booking at the front desk, from arrival to invoice.

Booking Details for Daniel Kim in room 201: room Occupied, status Checked In, the green check-in banner and the five tabs

The top of the page shows the booking number, the room and its current status, the guest, the dates and the booking's Current Status. A green or blue bar shows when the guest has checked in or out. Below are five tabs: Booking Details, Guest Info, Check In/Out, Payment/Invoice and Documents.

Change dates, status or notes

1

On the Booking Details tab, change the Check In Date, Check Out Date, Booking Status or Notes. The form opens with the booking's current values.

2

Click Save Changes.

To cancel a booking, set Booking Status to Cancelled and save. A cancelled booking no longer blocks its room for those dates.

Delete a booking

Click Delete Booking at the top right and confirm Delete this booking? This cannot be undone. The booking and its uploaded documents are removed and you return to Bookings. If the guest was checked in, the room is set back to Available.

Cancel a booking rather than deleting it if you want to keep a record of it.

See the guest's details

The Guest Info tab showing name, email, phone, ID proof type, ID proof number and address

Guest Info shows the guest's name, email, phone, ID proof and address. It is read-only: edit the guest on the Guests page.

Record a payment and print the invoice

1

Open the Payment/Invoice tab. The Payment Amount shows what has been paid so far, and Payment Mode shows how it was paid.

2

Enter the Payment Amount. This becomes the booking's Amount Paid. It replaces the earlier amount rather than adding to it. For a second instalment, enter the total paid so far, for example 420 after a further $220.

3

Choose the Payment Mode: Cash, Card, UPI, Net Banking or Other.

4

Click Generate Invoice. The payment is saved (you'll see Payment saved. under the button) and the invoice opens.

The invoice headed Hotel Manager, number INV-2026-B47CC1: room charges $190.00 × 2 nights, total $380.00, paid by Card, balance $0.00

The invoice shows the app's name as the hotel name (Hotel Manager in the sample), a short invoice number (for example INV-2026-B47CC1), the guest's details, the room, the dates and number of nights, the room charges, the total, the payment mode, the amount paid and the balance. The Rate is the booking's total divided by the number of nights.

Click Print to print it, or Download PDF to open your browser's print window, where you can choose Save as PDF. Close the invoice with ×.

Check a guest out

1

Open the Check In/Out tab.

2

4

When the room is clean, open it on Rooms, click Edit, set Status to Available and click Save.
