Projects & milestones /a/projects

Every accepted quotation becomes a project here. Track the 10-step installation, the customer's loan, the material that left your godown, and payment collection — all on one page.

The installation pipeline

Projects render as cards. Each card shows:

Filter with Search, Status and Project Manager at the top.

Project header with Project Manager and Project Status dropdowns and the Installation Milestones checklist

1. Header

Project title, location and system size, a View Subsidy Tracking button, and two dropdowns:

Commission only when the job is done. The status can be set to Commissioned even with milestones still pending, and the invoice is raised immediately.

2. Installation Milestones

Ten checkboxes in sequence. Tick a box to mark it Done; the row strikes through and turns green. Each row has Upload Proof for site photos or DISCOM acknowledgements.

Tell the customer in one tap New — a WhatsApp icon appears next to each completed milestone. Tap it to send the customer a ready-made update, e.g. "Hi <customer name>, update on your solar project: Material procurement confirmed is now complete. We will keep you posted!" (edit the wording in Settings → WhatsApp Message Templates → Project milestone update message).

3. Subsidy Documents

Aadhar Card, Electricity Bill, Property Proof, Bank Passbook, plus the post-commissioning Installation Certificate and Inspection Report. Use Upload File on each tile; uploaded tiles turn green with View.

4. Loan New

Loan card showing financier SBI, status Disbursed, sanctioned 1,10,000 and EMI 2,178, above the Materials quoted-versus-issued table

If the customer is financing the system, this card shows the Financier, loan Status, Sanctioned amount and EMI. With no loan on record it reads "No loan application on record for this project yet." Click Manage on Loans page → to add or update it — see Loans.

5. Materials New

What you quoted against what has actually left your godown for this project — the margin-leak view. Columns: Item, Quoted Qty, Issued Qty, Quoted Value, Issued Value, Variance. The quoted side is filled in automatically from the accepted quote.

To send stock to site, click Issue Material:

Issue Material to This Project modal with godown, issue date, technician and items pre-filled from the quotation
1

The items and quantities are pre-filled from the accepted quotation's remaining un-issued quantities. Edit them if you're sending less (or more).

2

Pick the Godown, the Issue Date and who it's Issued To (the technician taking it).

3

Click Issue Material. Stock is reduced and the Materials table updates.

You can't issue more than you hold. If the godown is short, you'll see e.g. "Solar Panel 550W: only 4 in stock, cannot issue 6." Issue what you have, or receive the pending purchase order first.

Only items marked Track stock = Yes in the Product Catalog can be issued; untracked items (e.g. an earthing kit) stay in the table as quoted.

6. Payment Schedule & Collections

Payment Schedule with total project value, total received, balance outstanding and milestone rows including a Loan Disbursement receipt

Three totals (Total Project Value, Total Received, Balance Outstanding) above one row per payment milestone — Advance, Delivery, Commissioning — with amount, due date, status and amount received. Row actions: record a payment, change the due date, delete. A loan paid to you appears here as a Loan Disbursement row (see Loans). Part-payments show as Partially Received.

Set the due datesNew projects give all three instalments the same due date. Use the calendar button on each row to set realistic dates so Overdue Receivables stays meaningful.

Field technician view

Technicians signed in with the Field Technician role see their assigned projects, the milestone checklist and Upload Proof, without edit access to subsidy or payments.

After commissioning, monitor subsidy disbursement in Subsidy Tracker and collect the balance under Payments.
