WhatsApp & Messages

Fuzen School Management Pro messages parents automatically: absences, fee dues and reminders, receipts, results, homework, announcements, admission updates and bus notices. With your WhatsApp Business account connected, messages go out on their own. Until then, each message is prepared as a click-to-WhatsApp link, and parents with an email address also get it by email.

How messages go out today

ChannelWhenStatus in the log
WhatsApp APIYour WhatsApp Business account is connected and the template is approved.Sent, then Delivered or Read
Click-to-WhatsAppNo account connected yet. Staff open the chat with the message ready and press send.Link ready
EmailThe parent has an email address on the student record. Sent from the school owner's connected mailbox.Sent

After each action that messages parents (saving homework, publishing results, converting an admission), the app says how many emails were sent and how many WhatsApp links are ready, with a button for each parent.

Connecting WhatsApp

  • 1Open School Settings and scroll to WhatsApp Business API.
  • 2Choose the API Provider: Meta Cloud API or Twilio.
  • 3Enter the Sender Phone Number, the Phone Number ID / Twilio SID and, for Meta, the WhatsApp Business Account ID (used to check template approval).
  • 4Save the access token as the app secret wa_access_token. The token is never stored in an ordinary field; the card shows Not saved yet until it's there.
  • 5Set the Send Window (default 08:00 to 20:00).
  • 6Click Test Connection. It asks the provider whether the details work and sends nothing.

Message templates

Open Communications › Message Templates. Each message type has an English and a Hindi version with placeholders such as {{student_name}}, {{amount}} and {{due_date}}, plus the WhatsApp template name and its approval status.

Message Templates list with English and Hindi rows, all Pending approval

WhatsApp only sends a template the provider has approved. Create each template at your provider with the name shown here and the placeholders in the same order, then click Sync Approval. Until a template is approved, that message goes out as a click-to-WhatsApp link.

The language used follows Message Language in School Settings.

The Message Log

Communications › Message Log lists every message with the time, recipient, channel, template, the text as sent and its status. Filter by channel, status, template and date. The cards at the top count today's messages, API sends, links ready, and failed or blocked messages, and a strip shows the daily count for the last 7 days. Failed messages can be resent.
