School Management Pro guide › Attendance Entry

Attendance Entry

Mark a whole class in under a minute. Everyone starts as Present, so you only tap the absentees. Then let the parents of absent students know.

Marking today's attendance

Click Attendance Entry in the left sidebar, or Mark Attendance on the Dashboard. Teachers can also mark attendance from Teacher Mobile.

  • 1Check the Date. It defaults to today.
  • 2Choose the Class and Section. The student list loads underneath with the count.
  • 3Every student starts as Present. Tap Absent or Late only for the students who need it. Mark All Present sets everyone back to Present.
  • 4Tap Submit Attendance.

Sending absence messages

After you submit, you'll see Attendance Saved! with the totals, e.g. 3 Present • 0 Late • 1 Absent.

Parents of absent students who have an email address are emailed straight away. Each absent student is listed with what happened, for example Link ready. Tap Send. Email sent. With WhatsApp connected, the WhatsApp message also goes out on its own. Until then:

  • 1Tap Send next message. A WhatsApp chat opens with the next absent student's parent, with the message already typed. The button counts down, e.g. Send next message (1 left). You can also tap Send on one student's row.
  • 2Send it in WhatsApp, come back, and tap the button again for the next parent.
  • 3When you're done, tap Back to Roster.

The wording comes from the Absence Alert template in Communications › Message Templates. Every message is recorded in the Message Log.

Correcting a day

Choose the same date, class and section again. The statuses you saved load back in. Change what you need and tap Submit Attendance. Your changes replace the earlier marks; each student keeps one record per day.

Seeing a student's attendance

Open the student from the Student Directory and click the Attendance tab for a colour-coded calendar and the year-to-date percentage. Parents see the same in the Parent App.

Troubleshooting

  • The list says to select a class: pick both a Class and a Section.
  • No students appear: that class-section has no students yet. Add or import them in the Student Directory.
  • A class is missing from the dropdown: add it under Classes. Teachers see only the classes they teach.
